BOOKING TERMS AND CONDITIONS
The following terms & conditions are for public day tours, private tours, shared tours and transfers only.
1.1 Contract
By making a booking you will be accepting these booking terms and conditions on behalf of yourself and all other persons included in the booking made by you.
1.2 Variation of Brochure / Alteration of tour
We reserve the right to vary the services described in our website and brochures. You have the right to cancel your booking without penalty should we vary the tour after you have made your booking but before departure of the tour. The tour leader reserves the right to alter the itinerary during a tour to take into account weather conditions, roadworks, accidents, etc. Passengers will not be entitled to any refunds or compensation in such circumstances.
1.3 Insurance
You are advised to take out insurance to cover you in the event that you have to cancel your booking or to cover any expenses or losses arising from the cancellation of a tour made by us.
1.4 Behaviour
You are responsible for the conduct of all members of your group and you indemnify us against any liability for damage caused by you. We reserve the right to terminate the tour if behaviour is deemed to be unreasonable by our staff.
1.5 Complaints
You must immediately inform your driver-guide who will try to resolve your complaint. If this is not possible, please contact us within 14 days of your tour. We deal promptly with all correspondence relating to complaints.
Public day tours from Cambridge
2.1 Payment for public day tours
Payment is due before a tour commences. Please check the tour page to see what is included and what is not included in the tour price. Entry fees to attractions are not included unless otherwise stated. Payment may be made online through the Roots Travel website, by telephone, or through an agent of Roots Travel.
2.2 Amendments to Bookings
Name changes can be made free-of-charge. Tour date changes can only be made if we are able to sell on your ticket for the tour you had originally booked for.
2.3 Public day tours - cancellation by passenger
We are able to refund passengers in full less a 20% administration fee for all cancellations made more than 28 days prior to the tour date booked for. Cancellations made within 28 days of the tour date are non-refundable.
2.4 Public day tours - cancellation by Roots Travel
If we cancel the tour before departure we will refund all monies paid by you. We regret we cannot meet any expenses or losses you may incur as a result of any inconvenience suffered. You will not be entitled to any compensation from us for the loss of the tour. (please see '1.3 Insurance' above).
2.5 Departures
The departure time is stated on your ticket. It is the passenger's responsibility to arrive at the departure point on time. There are no refunds for late arrivals. There are no refunds for unforeseen circumstances beyond our control, eg. delays due to heavy traffic, bad weather etc.
2.6 Travel Documentation
You must show your e-ticket to join a Roots' tour. You can print your e-ticket or show your e-ticket on a mobile phone or other electronic device. Student cards must be available for presentation to qualify for the student rate.
2.7 Passengers permitted to travel
Passengers must be at least 18 years old to travel alone on a public day tour. Under 18s are welcome to join a tour but they must be accompanied by an adult of 18 years old or over. Regrettably, passengers under 3 years old are not permitted on a public day tour (see 'Travelling with children' below).
2.8 Travelling with children
Children must be at least 3 years old to travel on a Roots public day tour. Each child must have their own seat and be accompanied by an adult of at least 18 years old. Please note that our tour buses have very little room for child pushchairs. You must inform us in advance that you will be bringing a pushchair. If not, we cannot guarantee that there will be sufficient space on the bus.
2.9 Travelling with animals
Unfortunately, we do not permit pets to travel on our tour buses. Guide dogs and therapy dogs are permitted to travel but it is essential that we are informed in advance. Due to the needs of other passengers if we have not been informed in advance we cannot guarantee your dog will be able to come.
Private tours and transfers
3.1 Payment for private tours & transfers
We require payment of a 20% deposit to confirm a private tour or transfer. The remaining 80% balance will be due no later than 7 days prior to departure. We accept payment by bank transfer, cash, credit and debit cards. We reserve the right to cancel a tour if full payment is not received 7 days in advance of the tour - the 20% deposit paid would be non-refundable.
3.2 Private tours & transfers - cancellation by passenger
You must inform us in writing if you wish to cancel a private tour or transfer. We will refund all monies paid if the cancellation is made by the passenger more than 28 days before departure. The 20% deposit is forfeited for cancellations made more than 7 days but less than 28 days before departure. Cancellations made within 7 days of departure incur the full fee.
3.3 Private tours & transfers - cancellation by Roots Travel
If we cancel a tour before departure we will refund all monies paid by you. However, please note clause 3.1. You will not be entitled to any compensation for the loss of the tour but we will try to find alternative transport arrangements for you.
3.4 Passengers permitted to travel
Passengers must be at least 18 years old to travel alone on a private tour or transfer. Under 18s are welcome but they must be accompanied by an adult of 18 years old or over. Children under 3 years old are permitted on private tours.
3.5 Travelling with children
Every child must have their own seat and be accompanied by an adult of at least 18 years old. Please note that our tour buses have very little room for pushchairs. You must inform us in advance that you will be bringing a pushchair. If not, we cannot guarantee that there will be sufficient space on the bus.
Shared tours from Cambridge
4.1 Payment for shared tours
We require full payment to confirm a shared tour. Money to be refunded for passengers who join the tour will be processed after the completion of the tour.
4.2 Shared tours - cancellation by passenger
You must inform us in writing if you wish to cancel a shared tour. We will refund all monies paid if the cancellation is made before anyone from outside your group joins the tour. As soon as someone from outside your group has booked on the tour, I'm afraid we cannot accept any cancellations.
4.3 Private tours & transfers - cancellation by Roots Travel
If we cancel a tour before departure we will refund all monies paid by you. You will not be entitled to any compensation for the loss of the tour but we will try to find alternative transport arrangements for you.
